Application Status Update

The grandparenting route window closed on March 31, 2017. In the final three months, from January 1 to March 31, we received over 2,400 new grandparenting applications.  

Between January 1, 2017 and March 31, 2018, CRPO approved a total of 2,532 applications submitted through grandparenting and the regular route.

All remaining grandparenting applications have now undergone a first level review. It is estimated that over three-quarters of the remaining grandparenting applications will be referred to a panel of the Registration Committee for further review. As outlined below, in cases where there are concerns or uncertainty about an application, a more detailed and lengthy process is followed (i.e. referral to the Registration Committee panel).

Effective December 2017, CRPO has made an administrative policy change in order to better process applications made through the grandparenting route to registration. Going forward, applications that are referred to a panel of the Registration Committee for review will be offered a refund of their application fee if they choose to withdraw their application.

Any grandparenting applicant who is referred to the panel can choose to proceed with their application. In this case, the panel of the Registration Committee will consider the application file, along with any written submissions provided by the applicant by the submission deadline, and render a formal decision.

Those who choose to withdraw their grandparenting application for registration and accept the refund of their application fee should note that they will not be able to appeal the application to the Health Professions Appeal and Review Board and they will not be able to apply for registration with CRPO in the future via the grandparenting route. The grandparenting route closed on March 31, 2017. The regular route is available for those who have completed a master’s level program in psychotherapy.

This policy change is intended to support CRPO’s efforts to provide timely decisions to the more than 2,400 applications that were received in the final days of the grandparenting window.

Note: This policy change regarding refunds was implemented by the College in mid-December 2017. It was not in effect prior to this time. As such, any applicants who were referred to the Registration Committee panel prior to the middle of December 2017 are not eligible for a refund of their application fee, as time and resources have already been committed by Registration Committee panel members towards reviewing these applications.

Regular Route

Regular route applications are subject to a different registration process and so are not impacted by the volume of grandparenting applications. Those that clearly demonstrate how the individual meets the minimum requirements for registration will expedite processing, as will those where the applicant has completed a recognized education or training program. Complete, comprehensive applications that meet all the requirements for registration will be reviewed and a result provided within approximately six months of submission. Applications that are referred to a panel of the Registration Committee for further review will take longer to process.

Monitoring Your Application Status

Applicants can easily track the progress of their application through the review stages by checking the status indicator located on the application landing page (i.e., the page with hyperlinks to all the sections of the form) in their user account. To minimize processing delays, we are not able to respond to questions about when an individual application will be processed.

We do appreciate that you have been waiting and assure you that we are doing everything we can to process your application as efficiently, but also as thoroughly, as possible. Also, please understand that each application must be evaluated on a case-by-case basis, so the time frame for completing application reviews may vary. This is not something that can be made perfectly uniform, as there are unique circumstances for each applicant.

What does each status mean?

Your application has been submitted successfully and is in the queue for processing; staff review has not yet begun.

Under Review:
Review of your application is now underway. A detailed assessment is conducted to determine, first, whether the application is complete and, second, whether the applicant meets the minimum registration requirements.

Check your email inbox (including spam folders) regularly for the alerts CRPO sends when a message has been placed in your user account and be sure to respond to requests for clarification or more information as soon as possible.

Registrar Review:
First-level review of your application is complete; a second, senior-level review is in process.

You have met the minimum requirements for registration; your application has been approved.

Recommend to Panel:
Applications that do not clearly meet the registration requirements, for one reason or another, are referred to a panel of the Registration Committee for a third-level review.

This review panel includes professional members of Council (that is, practicing Registered Psychotherapists) as well as publicly appointed members. Professional members bring their clinical perspective and experience to the process and work with the other panel members to ensure that registration decisions are fair and appropriate.

Correspondence with CRPO about Your Application

Staff may contact applicants with questions once the review of their application begins. If you submitted an application, please monitor your CRPO user account or your email inbox regularly for the notifications we send alerting you to a system message, and respond to any questions or requests for additional information as quickly as possible to prevent delays. To facilitate the processing of applications:

  • If a staff member has questions after the first review of the application, they will send a detailed message to the user’s online account addressing the concerns.
  • If more information is required after receiving the response, a staff member will follow-up for a second and final time.
  • If we do not receive a substantive response within two months of the date of the initial request for clarification, or the two attempts fail to result in satisfactory information, the application may then be referred to a panel of the Registration Committee for further consideration and possible refusal.
